Meeting notes to flowchart

Notes from a process meeting are rarely in order. People go back to an earlier step, add an exception, and correct a name. Wavelength reads all of the notes and builds the flow in the order the work runs.

How it works
- Add your notes or the recording. Paste the text, or upload a file. Notes can be .txt, .md, .pdf, or .docx. Recordings can be .mp3, .m4a, .wav, .mp4, or .mov.
- Wavelength puts the steps in order. A detail that comes late in the notes goes back to the step it belongs to.
- It finds the decisions. Words such as "if," "unless," and "only when" become a decision diamond with labeled branches.
- It names the owners and the tools. Each person, team, system, and data store gets one node.
- You check and edit. Dashed amber lines show inferred links. Confirm them, delete them, or describe a change in plain English.
A worked example: vendor onboarding
Notes in, as one person typed them during the meeting:
Steps out, in process order:
- Operations sends the vendor form in Google Forms.
- The vendor returns a W-9 to Finance.
- Decision: does the vendor touch customer data? If yes, IT sends the security questionnaire. If no, the process goes to the next step.
- Decision: is the contract over $50,000? If yes, Legal reviews the contract. If no, the process goes to the next step.
- Finance sets up the vendor in QuickBooks.
- Operations sends the welcome email.
The notes put the W-9 first and the vendor form third. The flowchart puts the form first. The notes do not state the link from the form to the W-9, so that link shows as a dashed amber line. If the order is wrong, drag the nodes or say the change.
Write notes that map well
Shorthand is fine. These five habits give a better flowchart from the same meeting:
- Start with the trigger. Write what starts the process, such as "a vendor asks to sign up."
- Put the owner first on each line. "Finance: set up vendor in QuickBooks" maps better than "vendor set up."
- Keep the condition words. "if over 50k" gives a decision with two branches. "big contracts" does not.
- Mark the end. Write the last step, so the flow has a clear finish.
- Remove tasks that are not process steps. "Send the deck to Sam by Friday" is a task from the meeting. It is not a step in the process.
Notes or the recording?
Use the notes when they are short and focused on one process. Use the recording when the notes miss detail. Wavelength takes audio and video files, and transcript files such as .vtt and .srt. After the flowchart

Can I paste messy meeting notes?
Yes. Bullets, shorthand, and notes out of order are fine. Wavelength puts the steps in process order.
Does Wavelength ask me questions before it draws?
No. It draws from your notes. When it infers a link, it shows the link as a dashed amber line for you to check.
Can I upload the meeting recording instead of notes?
Yes. Upload an .mp3, .m4a, .wav, .mp4, or .mov file. You can also upload a transcript as .txt, .md, .vtt, .srt, .json, .pdf, or .docx.
What if my notes cover two processes?
Split the notes. Make one flowchart for each process. One process in each flow gives a clear diagram.
