Why map during the interview

When you draw the map after the interview, you find gaps. The stakeholder is not there to answer them. You must book a second meeting. When you map during the interview, the stakeholder sees each gap and fills it in the same meeting.

A map on screen also gives the stakeholder something to correct. A stakeholder who reads "Finance approves" can say "no, the controller approves." A stakeholder who reads your notes later rarely does this.

How it works

  1. Hold the mic. The map builds while you hold the mic. If the stakeholder sits near your microphone, hold it while they talk. If not, repeat each step aloud in your own words.
  2. Share your screen. The stakeholder sees each actor, system, and decision when it appears.
  3. Ask about the dashed amber lines. Each one is a link that the AI inferred. Ask the stakeholder to confirm it or correct it.
  4. Fix the map in the meeting. Drag a node, rename it, or say the change in plain English.
  5. Upload when live mapping is not possible. After the interview, upload the recording or the transcript. Wavelength builds the map from the file.

Interview questions that give a good map

  1. What starts this process?
  2. Who does the first step, and in which system?
  3. What happens next, and who does it?
  4. Where does someone make a decision? What is the rule?
  5. What happens on each branch of that decision?
  6. Where is the data kept between steps?
  7. What happens when something goes wrong?
  8. How do you know the process is finished?

Ask one question at a time. Let the stakeholder answer in full before the next question. Each answer adds nodes to the map.

A worked example: one interview segment

Analyst: What starts the process? Stakeholder: A customer emails a change request to the support inbox. Analyst: Who picks it up? Stakeholder: A support agent logs it in Jira. If it is a billing change, it goes to the billing team. If not, the product owner reviews it. Analyst: Where does the approved change go? Stakeholder: Engineering builds it, and the release notes go on a Confluence page.

The stakeholder did not say what the billing team does next. The map stops at the billing team. That gap is your next interview question.

Merge several interviews

One stakeholder rarely knows the full process. Sales knows the start. Finance knows the end. IT knows the systems. Map each interview as its own flow first.

Then compare the flows. Take the confirmed steps from each flow and talk through one combined walkthrough. Map it as a new flow. When two stakeholders describe the same step in different ways, record both versions and take the question back to them.
