Leave the kickoff call with the customer's workflow already mapped.
Wavelength is for customer success, implementation, and onboarding managers. You map the customer's workflow during the kickoff call, confirm it with the customer, and attach it to the deal. The handoff from sales starts from a diagram the customer already signed off on.
The kickoff call is where you learn how the customer actually works today. The usual output is a page of notes and a follow up email that starts "based on our conversation." Two weeks later the implementation team reads those notes and reconstructs the workflow from memory. The gaps are where the scope creep starts.
The demo needs no account. The free plan needs no card.
How it works
- Map the workflow on the kickoff call. Hold the mic and facilitate the kickoff as you normally would. The actors, steps, decisions, and systems appear on the canvas as the customer describes them. You can also upload the recording afterward and get the same diagram.
- Share a link for the customer to correct. Send the flow and the customer sees the same diagram you built on the call. They fix the steps that are wrong before anyone builds anything.
- Check the Follow-up pack. The recap email and the open questions come from the AI guessed connections, shown as dashed amber lines. Those are the things to confirm before the build starts.
- Attach to the HubSpot deal. Use Export and then Attach to HubSpot deal to add the diagram, a summary, and a live link to the deal as a note.
The map becomes the handoff
The flow the customer corrected on the kickoff call becomes the baseline for the implementation. The delivery team inherits an editable diagram the customer already signed off on, rather than a set of notes someone wrote up afterward. Reuse it for the handoff from sales to implementation and skip the re-discovery.
Where it does not fit
Wavelength does not replace a project plan or a Gantt chart. It captures the customer's current workflow, not the implementation schedule. Use it alongside your project management tool, not instead of it.
It also does not configure the product for the customer. The map tells you what the customer does today. The configuration work is still yours.
Common questions
Can I map the workflow live on the kickoff call?
Yes. Hold the mic and facilitate the kickoff as you normally would. The actors, steps, decisions, and systems appear on the canvas as the customer describes them. You can also upload the recording afterward and get the same diagram.
How does the customer correct the map?
Share a link to the flow and the customer sees the same diagram you built on the call. They can correct nodes and connections directly, or tell you the changes on a follow up and you make them on the canvas.
What is in the Follow-up pack?
A recap email and a list of open questions. The open questions come from the AI guessed connections, shown as dashed amber lines on the canvas. Those are the things to confirm with the customer before you build.
Can I attach the flow to a HubSpot deal?
Yes. Use Export and then Attach to HubSpot deal to add the diagram, a written summary, and a live link to the deal as a note. It works on every plan, including Free.
Can I reuse the map for the handoff from sales?
Yes. The flow the customer corrected on the kickoff call becomes the baseline for the implementation. The delivery team inherits an editable diagram the customer already signed off on, rather than a set of notes.
